Step 1: Fill in the time slots for the daily appointments, meetings, or events you cannot change.
Step 2: On the left side, list the things you want to do today. Don’t worry about tomorrow with this list – it’s a focused list meant to be used one day at a time.
Step 3: Estimate how much time each task on your list will take, and enter it into a time slot. Draw a line through the blocks of time that it will take to accomplish the task.
This is the part where you need to allow for flexibility. This schedule is not meant to be rigid, it’s intended to keep you from distraction.
If you schedule 45 minutes for de-cluttering your closet, try to stick to it. At the end of the 45 minutes, wrap it up and move on to the next item on your agenda. If one task requires more time than you allotted, don’t just keep going and ignore your list. It’s time to re-evaluate. If you find that it’s more important than something else you planned, then schedule it and drop the other task.
In most cases, it’s best to stick to the time frame and move on to the next task. Working through your to do list with a time schedule will keep you focused and help you accomplish more without distraction.
